Connecting Google Sheets — Setup Guide
Everything you need to connect a booking spreadsheet to Misfora and keep it in sync.
The overview explains what it does and who it is for — in two minutes.
Video walkthrough
Before you start
- A Google account with access to the booking spreadsheet.
- Columns with the check-in date, the check-out date or number of nights, and the number of guests — plus the property or room, if you have more than one.
- Everything else is optional, but improves results — see Recommendations.
Connect your sheet
Sign in with Google
Open the 📊 Google Sheet window in the dashboard and choose Connect with Google.
Choose your file
Select the spreadsheet from your Drive. Misfora gets access to this file only.
Choose the tab
One connection reads one tab. If your file has several tabs (for example, a separate tab per year), pick the one with current bookings.
Map your columns
Tell Misfora which column holds what — see Columns. You don't need to reorganize your spreadsheet first: the mapping adapts to your layout.
Done
The first sync runs right away.
Columns
Required
- Check-in date.
- Check-out date or number of nights.
- Number of guests — Misfora creates a check-in for each guest in the booking. An empty cell counts as one guest.
Required if you have more than one unit
- Property — if one sheet covers several properties (villas, apartments, buildings). Without it, bookings from different properties can't be told apart. See Multiple properties.
- Room — if a property has several rooms or units. Without it, you won't see which room a guest is staying in.
Optional
| Column | What it's used for |
|---|---|
| Guest name | One column for the full name, or separate first and last name columns |
| Phone / email | To reach the guest with the check-in link |
| Booking ID | Reliable recognition of edited rows |
| Check-in / check-out time | Otherwise the default times are used (14:00 / 11:00, adjustable) |
Your sheet as it is
Dates. Choose your date format during setup (for example DD.MM.YYYY or MM/DD/YYYY). Short dates like 18/09 work too.
Header row. Normally the first row holds column names. If your sheet has no header row, choose that option and pick columns by letter.
Time zone. Set the property's time zone so check-in times are correct.
Recommendations
None of this is required — Misfora works without it. But if you're setting up a sheet from scratch, or can still adjust an existing one, these small choices pay off.
With a booking ID, an edited row is recognized as an update to the same booking, not a new one. Without it, changes are matched by guest contact, name and dates — this works, but less reliably (see How sync works).
If you have both, keep them in separate columns. Each is then checked against the scanned document on its own, which catches more mismatches.
A phone or email gives you a way to reach the guest. Misfora can send the check-in link by email, or you can open a one-click WhatsApp, Viber, Telegram or Zalo message. Without a contact, only reception mode is available: a staff member scans the guest's document in person. In some countries guest contact details are also part of the required registration data.
A number saved as +90 5xx xxx xx xx rather than 05xx xxx xx xx is what makes one-click WhatsApp, Viber and Zalo links work — see reaching a guest who hasn't responded.
How sync works
Schedule
Misfora checks the sheet automatically, every 30 minutes by default. For an immediate update, use Sync now in the Google Sheet window.
New rows
Become new bookings.
Edited rows
- With a booking ID — always updated as the same booking.
- Without a booking ID — Misfora looks for the same booking by contact, name and dates. Small edits (adding a phone number, fixing a name, moving dates by up to 3 days) are recognized as the same booking. Bigger date changes are treated as a cancellation plus a new booking.
Deleted rows
| Situation | What happens |
|---|---|
| Arrival more than 48 hours away | The booking is cancelled automatically |
| Arrival within 48 hours, or the guest has already checked in | Nothing is cancelled automatically. The booking is marked Removed from sheet in the guest list, and you choose Cancel booking or Keep. If the row was deleted by mistake, put it back — the notice disappears on the next sync |
| Arrival passed more than a day ago and the guest never checked in | Cancelled automatically |
| Stay already finished | Kept as history, nothing is cancelled |
Read-only
Sync never writes anything to your sheet.
Multiple properties
- One sheet, several properties. Choose a "property" column during setup and the values that belong to this property. Rows with other values are ignored.
- Several tabs. Each connection reads one tab. Different properties can use different tabs of the same file.
- If two properties are connected to the same file and tab, the dashboard warns you — otherwise the same guest could appear in both.
Sending check-in links
Misfora sends the check-in link by email. You can also share it in one click via WhatsApp, Viber, Telegram or Zalo — the message opens in your messenger and you send it yourself. Guests without a contact can be checked in at reception.
See the main guide: Send a guest check-in link · Guest arrives without completing registration.
Export and government registration
Names, document numbers, nationality, issuing country and dates, downloaded from the dashboard. For your own records, your accountant or a local registration form.
In Turkey, guest data goes to KBS automatically, even without a PMS — see KBS guest registration. For other countries, direct integrations can be added for the system you use.
Disconnecting
You can disconnect the sheet at any time in the Google Sheet window.
Disconnecting permanently deletes all bookings synced from that sheet, including collected documents and registration records. The dashboard shows how many bookings are affected before you confirm. You can connect a sheet again afterwards.
Clean up old bookings — if you reconnected to a different file, this button removes bookings left over from the previous one.
Access and privacy
Misfora uses Google's narrowest file permission: access only to the spreadsheet you select. No access to other files in your Drive.
No edits, no deletions, no new files.
Disconnect in Misfora, or revoke access in your Google account settings.
What is stored and for how long — see the Privacy Policy.
Troubleshooting
"Looks like the connection is broken"
Almost no rows were recognized as bookings. Usually the columns or the header row shifted — for example, someone inserted a row above the headers. Fix it with Edit mapping.
"N flagged for review"
Bookings removed from the sheet close to arrival (see How sync works), or the same booking ID appears in several rows. Duplicate IDs have to be fixed in the sheet itself.
A booking doesn't appear
Check that the check-in date is filled in and matches the chosen date format, and that the row matches the property filter. Then press Sync now.
A booking appeared twice
Usually a date was moved by more than 3 days in a sheet without a booking ID. Add a booking ID column to avoid this.
